The challenge

Dispatch ran on one spreadsheet that everybody edited at once. Job status was whatever the last person typed, proof-of-delivery photos lived in personal phone galleries, and month-end invoicing took four days of reconciliation.

Before and after

Before

  • One shared spreadsheet, frequent overwrite conflicts
  • Status updates by text message, often missed
  • Delivery photos scattered across personal phones
  • 4 days of month-end reconciliation
  • No history of who changed what

After

  • Role-based logins for drivers, dispatch and admin
  • One-tap status from the cab, live on the dispatch board
  • Proof-of-delivery photos attached to the job record
  • Month-end export in under an hour
  • Full audit trail on every field change

What we built

  1. Modelled jobs, drivers and clients properly, with row-level access so drivers see only their own work.
  2. Built a mobile-first driver view: today's runs, one-tap status, photo upload on delivery.
  3. Gave dispatch a live board with filters, assignment and a full audit trail per job.
  4. Added CSV and PDF exports shaped to match the accountant's existing invoicing process.

The spreadsheet was costing us more than the build did. Dispatch can finally see the whole day at once.
